Five manual steps, nothing connected
Every event Culpeper ran required five manual steps:
- Registration through TicketBud
- Attendance tracked through spreadsheets
- Reminders sent manually via email
- Sign-ins collected through pen & paper
Nothing connected. Nothing carried forward.
The team described event management as a significant administrative burden — and that was before the bigger problem: they had no way to see whether the same person had attended four events, moved between programs, or progressed as a business over time.
Before and After
- TicketBud registration → Embedded registrations forms on the website
- Reminders sent manually → Automated confirmation & reminder emails
- Paper sign-in at the door → QR code self check-in
- Attendance types into a spreadsheet → Registrants auto populate the Catalyzer CRM
- Follow-ups sent manually → Automated follow-ups, segmented by attendees vs no-shows
- No cross-program visibility → Full participant journey visible
One system, no manual steps
- End-to-end event workflow. Rebuilt their entire event process — public registration forms embedded on their website, QR check-in, automated emails, and CRM population. No manual steps remain.
- Participant journey tracking. Every attendee now lives in a single client record. Staff can see crossover between events, programs, and cohorts — and track business milestones over time.
- Cohort and program management. Configured multi-week cohorts and recurring workshops — registrations, waitlists, session tracking, and attendance in one place.
- Automated communications. Customized confirmations, pre-event reminders, and targeted no-show follow-ups — all triggered automatically, none written by hand.
Live and expanding
Culpeper is early in deployment and already running live events through Catalyzer. Forms are embedded on their website, attendance tracking is active, and manual processes have been replaced. The team is now expanding to cohort programming and building out participant tracking over time.
